Reading and Replying to New Messages

Opening New Messages

New messages go to the Inbox folder.  Unread messages appear in bold type; read messages appear in normal type.  The envelope icon beside an unread message is closed but open for a read message. Double-click on a message to open it and read it in a new window.

Messages shown are listed in Received order.  Click once on a column header to sort messages by that column (From, Subject, Received, Size).  Click a second time on the same column to sort by that column in reverse order (A Z or Z→ A; chronological or reverse chronological order).

If you choose View>Preview Pane, this opens the preview pane at the bottom of the Inbox folder window to display the message selected in the Inbox folder.  It is a scrollable window which lets you read the entire message in this window.  However, some features are not displayed in the preview pane.  Therefore, double-click on the message to open it in a new window. Choose View>AutoPreview to display the first few lines of an unread message in the Inbox folder window.

Replying to Messages

To reply to a message, click Reply Reply icon image.  This adds RE to the subject of the original message.  To reply to all of the recipients of the original message, choose Reply to All Outlook icon image.  These addresses are added to the address field and RE is added to the subject field. 

Click Forward Outlook image to forward this message to someone other than the sender or one of the original recipients; FWD: is added to the subject of the original message  You can add additional recipients, or when choosing Reply to All, you can delete selected recipients.

Options

You can select the option for including the original text of a message.  Choose Tools>Options and click on the Preferences tab.

Then click E-Mail Options to open a dialog box.  In the “On Replies and Forwards” section, select how the text should be handled by using the drop-down menu.

Also, you can set options in Outlook to be alerted when you receive new messages by clicking on the Advanced E-mail Options button in the same dialog box (see above). 

This opens the dialog box as shown below.

Check the box to “Display a New Mail Desktop Alert" when new mail arrives. 

Add a Reminder to a Message

  1. In the message, click Outlook image. This opens the following dialog box.

  3. In the Flag to list, select what type of action you want to take on the item using the drop-down list.

  4. In the Due by boxes, enter a date and time to complete the follow-up action.
